Definition

Business process outsourcing

Business process outsourcing (BPO) is hiring an outside provider to run a business function for you, such as payroll, bookkeeping or customer support. That is what business process outsourcing means, and the BPO meaning is the same: you hand over the work, not the decisions.

**In short:** Paying an outside team to run a function.

## What BPO is and its types

* Back office
Payroll, accounting and data entry.
* Front office
Customer support and sales calls.
* Onshore
A provider in your own country.
* Nearshore or offshore
A provider in a neighboring or distant country.

The BPO definition is simple: a company delegates non-primary tasks to a third party, as ARDEM describes it. The provider runs the process; you keep the goals and the oversight.

If you wonder what BPO stands for, it is business process outsourcing. So what is BPO in daily life? A payroll team in another city, a call center or a data-entry firm.

Providers are usually grouped in two ways: by the kind of work, and by where the team sits.

## Why companies outsource, and the trade-offs

What you gain

* Time for core work
* Skills you do not have
* Capacity for busy periods

What you give up

* Direct control of daily work
* Some visibility into quality
* Easy changes to the process

Companies outsource to free their own team for core work, to reach skills they lack and to avoid hiring for tasks that come in waves.

Statista's report sizes the worldwide BPO market at about $0.39 trillion in revenue for 2024.

The trade-offs are real. You depend on someone else's staff and quality. Training, data access and handoffs take effort. And you still own the outcome when the provider gets something wrong.

## BPO vs automation and a cost baseline

1. Count hours
Add up monthly hours spent on the task.
2. Apply the wage
Multiply by the BLS median hourly wage.
3. Get the baseline
An estimate: wages only, no overhead.
4. Compare
Check any BPO quote or automation scope against it.

Before you pick, price the task you do today. A rough in-house baseline is monthly hours on the task times the BLS median hourly wage for bookkeeping, accounting and auditing clerks.

Treat the result as an estimate, wages only, with no benefits, overhead or provider margin. Use that number as the baseline for any BPO quote or automation scope.

If the quote is not clearly below it, ask what you are buying beyond labor.

According to the Bureau of Labor Statistics, employment of these clerks is projected to decline 6 percent between 2025 and 2035\. The agency adds that software has already automated many of their tasks.

BPO moves the work to people elsewhere. Automation changes how the work gets done. For more on the software route, see [business process automation](https://nexumautomations.com/guides/business-process-automation) and [task automation](https://nexumautomations.com/glossary/task-automation).

Fixing a broken process first matters either way. Michael Hammer argued in Harvard Business Review that you should not automate a bad process, you should redesign it.

## How BPO differs from close terms

BPO

* Outside people run the work
* A contract and a provider
* Process stays as it is

Automation

* Software runs the steps
* Built on your own tools
* Process can be redesigned

BPO is often mixed up with neighbors. Business process management is how an organization designs and improves its own processes; it is about the process, not who runs it. See [business process management](https://nexumautomations.com/glossary/business-process-management).

Automation uses software to do the steps; BPO uses outside people. Outsourcing a task does not change the process itself.

[Process mapping](https://nexumautomations.com/glossary/process-mapping) shows what the process looks like before you hand it off or automate it. Back office is a kind of work, and BPO is a way of staffing it.

## How AI shifts the choice

Often suits AI or automation

* Repeatable, rule-based steps
* High volume data entry
* Routine lookups and updates

Often suits people

* Unusual or sensitive cases
* Judgment and negotiation
* Final sign-off on key steps

AI is entering outsourcing itself. In Deloitte's 2024 global outsourcing survey, 83% of executives said they use AI as part of their outsourced services, and 20% were already building strategies to manage digital workers.

For a buyer, that changes the question. You may stop choosing between people and software and ask instead which parts of a process need people and which can run on AI agents.

A person still approves the key steps. Compare the options in [AI vs automation](https://nexumautomations.com/compare/ai-vs-automation).
