# Electronic data interchange: what it is

A plain definition of EDI, how business documents move between partners, which documents are common and where people still do manual work.

Last reviewed October 30, 2026

Definition

Electronic data interchange

Electronic data interchange is the computer-to-computer exchange of standard business documents, such as purchase orders and invoices, between trading partners. It replaces paper and emailed PDFs with a shared format both systems can read.

**In short:** Standard business documents sent system to system.

## What is electronic data interchange

Paper and email

* Someone retypes each order
* PDFs get lost in inboxes
* Errors slip into records

EDI

* Systems read the document
* Same layout on both sides
* Data lands straight in the ERP

Electronic data interchange, or EDI, is how two companies swap routine documents without anyone retyping them.

IBM describes it as standards and protocols for sending documents like invoices or purchase orders between organizations' computer systems, plus the software that runs them.

So what does EDI stand for? Electronic Data Interchange. The word that matters is standard: both sides agree on one layout for each document.

## How an EDI exchange works

1. Create
The sender's system produces the document data.
2. Map
The data is placed into a standard layout.
3. Send
The file goes to the trading partner.
4. Read
The partner's system parses the standard file.
5. Load
The data enters their ERP.

The sender's system pulls the data out of its own records and maps it into a standard layout. That file travels to the partner.

The partner's system reads the standard file and loads it into its own ERP or order system.

In North America the common standard is ANSI X12\. The United Nations developed EDIFACT, which IBM describes as an international set of standards meant to work regardless of industry or location.

Every document type has its own definition. ASC X12, for example, publishes separate specifications for the purchase order, the invoice and the ship notice.

## Where manual work still remains

* Emailed PDFs
Partners who skip EDI force manual entry.
* Mismatches
Order and invoice values do not agree.
* Exceptions
Odd cases need a person's decision.
* Old systems
Legacy software limits clean data flow.

EDI does not remove every human step. Some partners still email PDFs, so someone keys the data in by hand.

Mismatches are common: a quantity on the invoice that differs from the order, or a ship notice that arrives late. Exceptions like these need a person to decide.

Data quality is the hurdle. Automation World reports that many companies still run fragmented legacy systems that were not built for AI integration. See [legacy system](https://nexumautomations.com/glossary/legacy-system) for why that slows things down.

Connecting EDI feeds to the rest of your tools is mostly an [API integration](https://nexumautomations.com/glossary/api-integration) job, and our [AI integration](https://nexumautomations.com/services/ai-integration) work covers the wider picture.

## How EDI differs from related terms

EDI is

* A document standard
* Shared by many partners
* Readable by machines

EDI is not

* A one-off app link
* Email with a PDF attached
* A single event alert

EDI is often confused with nearby ideas. The difference is who agrees on what, and how.

An API is a direct connection between two applications, usually built for one specific use. EDI is a shared document standard used across many partners.

The [MCP vs API](https://nexumautomations.com/compare/mcp-vs-api) page covers a newer kind of connection.

Email with a PDF attached is a human-readable document, while EDI is machine-readable. A [webhook](https://nexumautomations.com/glossary/webhook) pushes an event notice between apps, but does not define a full business document.

Broader [system integration](https://nexumautomations.com/glossary/system-integration) covers all these methods, and EDI is one of them.

FAQ

## Electronic data interchange questions

* ### What does EDI stand for?
EDI stands for electronic data interchange. It names the standards and software that let companies exchange business documents computer to computer.
* ### What is an example of EDI?
A retailer sends a purchase order (the 850 document) to a supplier. The supplier's system reads it, ships the goods, then returns a ship notice (856) and an invoice (810).
* ### Is EDI still used today?
Yes. Standards like ANSI X12 and EDIFACT remain active, and ASC X12 still publishes the purchase order, invoice and ship notice definitions that trading partners rely on.
* ### What has replaced EDI?
Nothing has fully replaced it. Many companies add APIs or workflow tools around EDI, and use AI automation to handle the manual exceptions that remain.
* ### Does EDI work in every industry?
Yes, the idea is industry-neutral, though layouts vary. Healthcare has its own HIPAA-based subset of X12 for exchanging healthcare data.
