Definition

Single source of truth

A single source of truth is one agreed place that every team and tool treats as correct for a kind of data, such as customers or invoices, so two people do not quote two different numbers.

**In short:** One agreed place for correct data.

## A single source of truth in a company

Without one source

* Each team keeps its own copy
* Two people quote two numbers
* Nobody knows which is right

With one source

* One agreed place per data type
* Everyone reads the same record
* Disputes end quickly

Picture sales saying a customer has three open orders while finance says two. Both read a copy. Neither copy is the agreed one.

A single source of truth removes that argument. For each kind of data, the company names one place as correct, and everyone else reads from it.

One article describes it as an architecture, a way data is treated, rather than a single product.

The phrase is also used in documentation and in software engineering. This page covers only the company-data sense.

Data silos are the problem it fixes. A data silo is a store that one team holds and others cannot easily see or trust, such as a private spreadsheet. Silos breed duplicate, conflicting records.

## How it differs from a system of record

System of record

* Where a record is created
* Owned and edited by staff here

Single source of truth

* Where everyone reads it
* The agreed, trusted version

The two ideas are close, and people mix them up. IBM separates them: the system of record is where a piece of data is created and owned.

The source of truth is the agreed place everyone reads it from. The two can be the same system, and often are.

The two can also differ, for example when a reporting layer pulls clean data from the place where staff enter it.

So the system of record meaning is about ownership and creation. The single source of truth is about trust and agreement.

## Why it matters before AI

1. Staff and AI read
Both pull from the same records.
2. Copies disagree
One record says one thing, another says something else.
3. Wrong answer
The assistant quotes or writes the wrong value.
4. Trust drops
People stop relying on the output.

An AI assistant reads and writes the same records your staff do. If two copies disagree, the assistant can quote the wrong one, or write a change that clashes with the other copy.

Data quality is the top hurdle. The AI, Data & Analytics Network reports that 52% of 200+ professionals in the PEX Report 2025/26 named data quality and availability as the biggest AI adoption challenge.

A Validity survey of CRM admins points the same way: 31% said poor-quality data leads to a loss of at least 20% of annual revenue.

That is a vendor survey, so read it as a signal, not a benchmark.

Settling the question of which record counts comes first. Our [AI integration](https://nexumautomations.com/services/ai-integration) work starts from it.

## How a mid-size company sets one up

1. Pick the owner system
One place per data type.
2. Name a data owner
One person settles disputes.
3. Agree key fields
Decide what identifies a record.
4. Retire or sync copies
Remove extras or keep them in step.

You do not need a new platform to start. You need decisions, made once and written down.

FAQ

## Single source of truth questions

* ### What is a single source of truth?
One agreed place that every team and tool treats as correct for a kind of data. Staff read from it, so two people do not give two different answers about the same customer or order.
* ### What is a system of record?
The system where a piece of data is created and owned. IBM draws the line this way: the system of record owns the data, while the source of truth is where everyone reads the agreed version.
* ### What is a data silo?
A store of data that one team holds and others cannot easily see or trust, such as a private spreadsheet. Silos create duplicate and conflicting records, which is what a single source of truth is meant to remove.
* ### What is another word for single source of truth?
People also say source of truth, golden record or master record. Each leans slightly differently, but all point to the version everyone agrees is correct. Writing it down matters more than the label.
* ### Does a single source of truth have to be one system?
Not necessarily. It can differ by data type: customers in one system, invoices in another. What matters is that each kind of data has exactly one agreed owner, plus rules for how copies stay in step.
* ### How does this connect to AI readiness?
AI works from your records, so conflicting copies give wrong answers. Settling which record counts is an early step in [AI readiness](https://nexumautomations.com/glossary/ai-readiness), before any assistant touches your data.
