# AI in restaurants: what it takes off your team

What AI does in front of house, back of house and reviews, what the rules say, and how an owner can start with phones or invoices.

Last reviewed October 30, 2026 7 min read

The short answer

AI in restaurants means software that handles repetitive admin around the dining room and kitchen: answering phones, taking orders, forecasting demand, reading invoices and drafting review replies. It frees staff time. People still run service and decide.

Key points

* Phones, orders and messages are the front-of-house tasks AI takes first
* Forecasts, inventory and invoices help the back of house
* Review replies can be drafted, but a person approves them
* FCC and FTC rules cover AI voice calls and fake reviews
* Start with one task, such as phones or invoices

Our data

## What this work costs by hand

An estimate for one person who spends 10 hours a week on this work. Change the hours to match your team.

| | Estimate |
| ----------------------------------------- | ----------------------------- |
| Median annual wage, food service managers | $69,390 (May 2025) |
| Median hourly wage | $33.36 (annual / 2,080 hours) |
| Hours a week on this work | 10 (example input) |
| Estimated yearly cost per person | $17,347 (hourly x 10 x 52) |

Estimated, wages only (no benefits). Wage from the BLS Occupational Outlook Handbook, May 2025: https://www.bls.gov/ooh/management/food-service-managers.htm. The hours are an example input, not a measurement.

## What AI in restaurants means

* Listens
Answers calls and takes orders
* Reads
Pulls data from invoices and menus
* Predicts
Estimates covers and prep needs
* Writes
Drafts replies to guests

AI in restaurants is software that does a repetitive task a staff member would otherwise do by hand. It reads, listens, predicts or writes, then passes the result to your team.

The Bureau of Labor Statistics describes food service managers as responsible for the daily operation of restaurants and other places that prepare and serve food. Much of that day goes to admin, not to guests.

AI in the restaurant industry targets that admin. AI in food service works the same way in cafeterias and catering: it handles the routine and flags the exceptions.

## Phones, orders and messages in front of house

1. Guest calls
The AI answers on the first ring
2. AI listens
Takes the booking or order
3. System updated
Details go to your booking or order tool
4. Person steps in
Complex requests go to staff with context

The phone rings hardest when the team is busiest. An AI voice agent can answer, take a reservation or a pickup order, and send the details to your system.

The same idea covers online orders and guest messages. AI answers common questions about hours, parking and the menu, then hands anything unusual to a person.

Handoff matters. A Twilio report on conversational AI found that 78% of consumers call a switch from AI to a human important, yet only 15% reported a smooth handoff.

* Reservations during dinner service
* Pickup and phone orders
* Questions about hours, allergens and parking
* Messages from the website or social pages

## Prep, inventory and invoices in back of house

By hand

* Counting stock after close
* Typing invoices into the books
* Guessing next week's covers

With AI

* Counts and orders drafted
* Invoices read and matched
* A forecast to plan prep

In the kitchen and office, AI works on numbers. [Demand forecasting](https://nexumautomations.com/glossary/demand-forecasting) uses past sales, weather and events to estimate how many covers to expect, so prep and ordering match.

Inventory counts and supplier orders can be drafted from those forecasts. Supplier invoices can be read and matched to what was delivered, which is a job for [intelligent document processing](https://nexumautomations.com/solutions/intelligent-document-processing).

Schedules follow the same logic: AI proposes a draft from expected demand and availability. The manager adjusts and publishes.

* Prep lists based on expected covers
* Inventory counts and supplier order drafts
* Invoice reading and matching
* Draft staff schedules

## Reviews and reputation

1. Review arrives
A new rating or comment is posted
2. Reply drafted
AI writes it in your tone
3. Manager approves
You edit and send

Reviews pile up while the team is running service. AI can draft a reply to each one, in your tone, so the manager only edits and approves.

A [review automation](https://nexumautomations.com/solutions/review-automation) setup can also flag low ratings for a quick personal follow-up.

BrightLocal's 2024 survey found that 75% of consumers always or regularly read online reviews, and 50% trust them as much as personal recommendations. Replies are read by future guests too.

## What the National Restaurant Association reports

* $1.5T
Expected industry sales
* 15.9M
Expected employees
* 77%
Cite staffing as a top challenge
* 28%
Plan to invest in tech such as AI

The 2025 State of the Industry report expects the restaurant industry to reach $1.5 trillion in sales and employ 15.9 million people by year-end.

It also found that 77% of operators say recruiting and retaining employees is still a top challenge. That is why admin that AI can lift matters.

The same report says 28% of operators plan to invest in technologies such as AI to improve efficiency, training, marketing and off-premises operations.

## The rules for AI calls and reviews

Do

* Get consent for AI outbound calls
* Disclose when guests talk to AI
* Ask for honest reviews

Don't

* Post AI-written fake reviews
* Pay only for positive reviews
* Call guests without consent

Two rules matter most. In February 2024 the FCC ruled that calls using AI-generated voices count as artificial voices under the Telephone Consumer Protection Act.

Under that ruling, such calls need the prior express consent of the person called, unless an emergency or exemption applies.

The FTC's reviews rule took effect on October 21, 2024\. It targets fake reviews, including AI-generated ones from people who do not exist, and incentives conditioned on writing a positive or negative review.

In practice, get consent before any AI outbound call, and do not write or buy reviews. This is general information, not legal advice.

* Get prior consent before AI voice calls to guests
* Do not post AI-written fake reviews
* Do not reward only positive reviews
* Check current rules with a lawyer

## What manual restaurant admin costs

Estimated yearly cost

1. 5 hours a week x 52 = 260 hours
2. 260 x $15.24 wage
3. About $3,962.40 a year, estimated

Your own hours change the total

Here is an estimated cost, not a measurement. Formula: hours per week x 52 x the BLS median hourly wage. The hours below are example inputs, so use your own.

Bureau of Labor Statistics medians are $15.24 per hour for food and beverage serving workers. Food service managers earn a median of $69,390 a year.

Worked example for calls: 5 hours a week x 52 = 260 hours. At $15.24, that is 260 x $15.24 = $3,962.40 a year, estimated.

Worked example for schedules and reviews: 4 hours a week x 52 = 208 hours.

At the manager's $69,390 a year, divided by 2,080 hours, the hourly rate is $33.36\. So 208 x $33.36 = $6,938.88 a year, estimated.

* Calls: 260 hours x $15.24 = $3,962.40, estimated
* Schedules and reviews: 208 hours x $33.36 = $6,938.88, estimated
* Replace the hours with your own count

## How to start with phones or invoices

1. Pick one task
Phones or invoices
2. Set it up
Connect it to your current tools
3. Measure a month
Calls, invoices and hours back
4. Add the next task
Based on what worked

Pick one task, not five. Phones and invoices are the two safest places to begin because the work is repetitive and the result is easy to check.

For phones, an [AI voice agent](https://nexumautomations.com/solutions/ai-voice-agent) can answer during service and pass complex calls to your team. For invoices, document reading cuts typing and keeps your books current.

Measure it for a month: calls handled, invoices processed, hours back. Then pick the next task.

## What this means for your business

AI handles

* Routine calls and orders
* Invoice entry
* Draft schedules and replies

Your team keeps

* Welcoming guests
* Judgment calls
* Final approval

If you run a restaurant or small group, AI is worth testing on admin that steals time during service. Start with one task and keep a person in the loop for guests.

Keep the human parts human: hospitality, judgment and handling problems. Let AI take the repeated tasks.

FAQ

## AI in restaurants questions
