Definition

AI agent

An AI agent is software that uses an AI model to work toward a goal on its own. It plans the next step, uses tools like your CRM or inbox, and checks the result. This is the ai agent definition in one sentence.

In short: A chatbot talks. An agent does the task.

AI agents explained in plain words

Different groups define agents in similar words.

A joint CISA and NSA guide describes them as AI systems that autonomously reason, plan and execute actions by combining large language models with external tools and data sources.

IBM puts it as a system that autonomously performs tasks by designing workflows with available tools. NIST uses the shorter phrase "agents capable of autonomous actions".

The common thread is simple. An agent is given a goal, not a script, and it works out the steps.

The parts of an agent

Most agents share the same building blocks, however they are packaged.

  • A model that reads input and reasons about what to do
  • Tools it can use: a CRM, email, calendar or accounting system
  • Data it can look up, such as past tickets or policies
  • A loop that checks each result and decides the next step
  • Limits that send risky steps to a person for approval

AI agent vs chatbot vs automation

A chatbot answers questions in a conversation. An agent takes action inside your systems. A chatbot explains your return policy; an agent processes the return.

Classic automation follows fixed rules: if this happens, do that. It breaks when the input changes. An agent copes with messy input, like a free-form email, because it decides how to handle each case.

Many real systems mix the two. Fixed rules handle the predictable steps, and an agent handles the parts that need judgment. See our AI vs automation guide for the wider picture.

Business examples and what is ai agent development

What is ai agent development? It is the work of defining the goal, connecting the tools, setting the limits and testing the agent until it runs reliably.

Our AI agent development service covers this on top of the tools you already use.

Agents already run many back-office tasks. More cases are in our AI agents examples.

  • Replying to new leads within seconds and booking calls
  • Matching each incoming invoice to its case file
  • Answering order status questions from live data
  • Reading claim documents and recommending a decision to an adjuster

FAQ

AI agent questions

  • An actual AI agent is software with a goal that decides its own next steps and uses real tools to act. If it only answers questions and never does anything in your systems, it is closer to a chatbot.
  • A model for reasoning, tools it can use, data it can look up, a loop that checks results, and limits that hand risky steps to a person. See how to build AI agents for the process.
  • Yes, with limits. A well-built agent acts alone only on low-risk steps and asks a person before anything important, and you approve each step of the build.
  • AI agents take over repetitive tasks so people spend time on work that needs judgment and relationships. In our insurance case, adjusters now handle only the complex claims.
  • RPA repeats recorded steps and fails when screens or inputs change. An agent reads the situation and chooses the step. See our RPA guide for details.
