Definition

AP automation

AP automation is software that handles the repetitive parts of paying supplier invoices: capturing the invoice, matching it to an order, routing approvals and preparing the payment. If you ask what is ap automation, it is accounts payable work done by a system, with people reviewing the exceptions.

In short: Software that moves invoices from inbox to payment.

What is accounts payable automation?

Manual AP

  • Invoices arrive by email and paper
  • Someone retypes every field
  • Approvals chased by message
  • Payment files built by hand

Automated AP

  • Invoices captured in one place
  • Fields read by the system
  • Approvals routed automatically
  • Payment batch prepared for review

Accounts payable is the team and process that pays what your company owes suppliers. In many businesses it still runs on email, PDFs and spreadsheets.

What is accounts payable automation? It replaces the typing, chasing and filing with a connected workflow. Invoices arrive, get read, checked and sent to the right approver without someone copying numbers between screens.

The people do not disappear. They handle the cases the system flags and decide what gets paid.

The steps AP automation covers

  1. 01

    Capture

Read each invoice and pull out the fields.

  2. 02

    Match

Check it against the order and receipt.

  3. 03

    Approve

Route exceptions to the right person.

  4. 04

    Prepare payment

Queue approved bills for a payment run.

Most setups follow the same path from invoice to payment, whatever tools sit underneath.

  • Capture: read the invoice from email, upload or portal and pull out supplier, date, lines and totals
  • Matching: compare the invoice with the purchase order and the goods receipt
  • Approvals: send mismatches and high-value bills to the right person
  • Payment preparation: queue approved invoices into a payment run for sign-off

What is automated invoice processing?

AP automation covers

  • Bills you receive from suppliers
  • Reading and checking each invoice
  • Routing approvals and exceptions

Different from

  • Invoices you send to customers
  • Customer billing and collections
  • Paying without any review

What is automated invoice processing? It is the capture and checking stage on its own: the system reads each invoice and validates it.

What is invoice automation in the wider sense? The same idea stretched across approval and payment prep.

What is automated invoicing? That phrase often means the opposite direction, where you send invoices to customers automatically. AP automation is about the bills you receive.

Matching is the check that catches the most problems. A three-way match, as Oracle NetSuite documents it, compares a vendor bill with its purchase order and item receipt and sends any discrepancy to a supervisor.

Cost, errors and where people stay

  • Exceptions

A person reviews mismatches and odd invoices.

  • Bank changes

A person confirms new or changed payment details.

  • Large payments

A person signs off before money moves.

  • Routine bills

The system handles clean, matched invoices.

Ardent Partners found the average invoice costs $9.40 to process, while top AP teams get it down to $2.78.

The IOFM, cited by Ascend Software, found teams with AP automation process four times as many invoices per employee.

Errors are common. The IOFM reports that 68% of businesses see mistakes on more than 1% of their invoices. Ardent Partners also found 53% of AP teams name invoice exceptions their biggest challenge.

Fully touchless payment is rare. A 2025 survey reported by CFO.com found only 4% of mid-market finance leaders run invoice to payment with no manual touchpoints.

Controls matter too. The ACFE finds that more than half of occupational fraud comes from missing controls or overridden ones, and the FBI counts billions in business email compromise losses.

People keep final say on new suppliers, bank detail changes and large payments.

FAQ

AP automation questions

  • AP is accounts payable, the money you owe suppliers. GL is the general ledger, the master record of your accounts. Each approved invoice posts to the GL as an expense, so the two stay linked.
  • Automation means a system does a repeated task for you using set rules or AI. In payables, it reads invoices, checks them and routes them, so people only deal with the cases that need a decision.
  • No. The team shifts from typing and chasing to reviewing exceptions, approving payments and managing suppliers. Most finance teams still keep some manual touchpoints, as the CFO.com survey shows.
  • AP automation helps when matching and approval rules are built in, because every payment follows the same checks. Business email compromise was the top fraud route in the AFP's 2025 survey, so bank detail changes should still get a human check.
  • AI reads invoices in many formats and suggests matches or coding, which cuts retyping. Our AI for business guide explains the wider shift, and our accounts payable automation work shows how it is built.
  • RPA repeats recorded clicks and breaks when a layout changes. AP automation with AI reads varied invoices and decides how to route them. See our RPA guide for the comparison.
