Definition

Email automation

Email automation is software that sends the right email to the right person at the right moment, based on what they do or on a schedule, without someone writing and sending each message by hand. It answers the question: what is email automation?

In short: Set the rule once; the email sends itself.

What is email marketing automation

  1. 01

    Trigger

    Something happens: a sign-up, a purchase, a date.

  2. 02

    Rule

The tool checks who qualifies and which message fits.

  3. 03

    Send

The email goes out at the planned moment.

  4. 04

    Follow-up

The next step depends on whether they open or reply.

You may also see it called what is email marketing automation. The idea is the same: you decide who should get a message, when, and what it says, and a tool does the sending.

Mailchimp describes it as reaching the right people with the right message at the right moment, without redoing the work each time.

Replies, sign-ups and purchases can all start a message. So can a date or a status change in your CRM.

Triggers, flows and the main types

  • Transactional

Confirms something the person just did.

  • Welcome

    Introduces you right after sign-up.

  • Nurture

A short series that answers questions over time.

  • Reminders

Brings people back to a date or a task.

A trigger is the event that starts an email. A flow is a chain of emails and waits that follows from it, with branches for different behavior.

Most businesses start with a few common types.

Automation vs a bulk send

Bulk send

  • One message for the whole list
  • Sent when you choose
  • Same content for everyone

Automation

  • One message per person
  • Sent when their action calls for it
  • Content can change by behavior

A bulk send is one email sent to a list at one time, such as a monthly newsletter.

Automation is sent one person at a time, when that person's own action or date calls for it.

Both have a place. A newsletter shares news with everyone; an automated flow answers what one person just did.

Rules to follow and where AI helps

Set up

  • Postal address in every message
  • Easy opt-out that you honor
  • SPF, DKIM and DMARC on your domain
  • Spam complaints kept low

Avoid

  • Selling the list of people who opted out
  • Sending to people who opted out
  • Skipping tests before launch

Automated email still has to follow the law. Every email that violates CAN-SPAM can cost up to $53,088, per the FTC.

Messages need a valid postal address, and you must honor opt-outs within 10 business days.

Inbox providers add their own rules. Google wants SPF, DKIM and DMARC on your domain and a spam complaint rate under 0.30%.

AI adds on top of these rules. It can draft a first version of each message, choose the best send time and sort replies, while a person sets the limits.

FAQ

Email automation questions

  • A welcome series is the classic case. Someone joins your list, gets a greeting right away, then two more messages over the next days. Another is an invoice reminder sent when a due date passes.
  • Pick one trigger, such as a new sign-up. Write the message, set the rule and test it before launch. Our guide to automating emails walks through the steps.
  • Clues include an instant reply, a message that mentions an action you just took, and the same wording across many people. A time stamp seconds after your action is a strong sign.
  • No. A newsletter goes to the whole list at once. Automation sends to one person when their action or a date calls for it. See email automation examples for the difference in practice.
  • For many companies it is. Litmus, an email tooling company, says 35% of firms earn $10 to $36 back on every $1. Treat that as a vendor figure and measure your own results.
  • Yes. An NBER field experiment with 7,137 knowledge workers found that those who used an AI tool for email spent two fewer hours a week on it.
