Definition

Conversational AI

Conversational AI is software that understands what people say or type and replies in natural language, by chat or voice. A conversational ai assistant is the product you talk to, built on this technology.

In short: Software that talks with people in plain language.

What a conversational AI assistant does

  • Chat

Answers typed questions on a site or app.

  • Voice

Understands speech and replies out loud.

  • Messaging

Handles conversations in apps people already use.

A conversational ai assistant takes a question or request in everyday words and answers in the same way. The person does not pick from menus or learn commands.

It can work through a website chat, a messaging app or a phone call. The same core technology sits behind each channel.

Adoption is widespread. About 78% of organizations reported using AI in 2024, up from 55% the year before, according to Stanford's 2025 AI Index.

How conversational AI works

  1. 01

    Hear the request

Text arrives, or speech is turned into text.

  2. 02

    Understand intent

The system works out what the person wants.

  3. 03

    Use context

    Earlier messages shape the answer.

  4. 04

    Check your systems

It looks up data in the CRM or calendar.

  5. 05

    Reply

It answers in plain language, by text or voice.

Three parts do most of the work. The first is language understanding: the system works out what the person means and what they want.

The second is context. It keeps track of earlier messages, so a follow-up like "what about Friday?" still makes sense.

The third is connection to your systems. With access to a CRM, calendar or help desk, the assistant can look up an order or book a slot instead of only talking about it.

Voice assistants add speech recognition before these steps and speech output after them.

Assistants vs agents for businesses

Assistant

  • Responds when asked
  • Answers questions
  • Hands work to a person

Agent

  • Pursues a goal
  • Takes actions in your tools
  • Plans its own steps

IBM calls AI agents mainly proactive. They plan and act toward a set goal with the tools and permissions they hold. An assistant mostly waits until a person asks.

In practice the line blurs. A conversational ai assistant that only answers questions is simple to run. When it also books, updates records or issues refunds, it behaves like an agent.

That second group is what people mean by conversational ai agents for businesses: the conversation is the front door, and the work happens in your systems behind it.

Uses in support and sales

Good fit

  • Repeated questions
  • Clear policies to follow
  • Requests that need a quick reply

Needs a person

  • Sensitive complaints
  • Unusual or high-stakes decisions
  • Cases with missing information

Support is the most common home for conversational AI. It answers routine questions at any hour and passes harder cases to a person with the conversation attached. See AI in customer service.

In sales, it replies to new leads at once, asks qualifying questions and books meetings. Speed matters there, which is why speed to lead is a common first project.

Many companies look for conversational ai solutions or conversational ai services when they want this built around their own tools.

  • Answering order, billing and policy questions
  • Qualifying leads and booking calls
  • Taking phone calls with a voice assistant
  • Collecting details before a person steps in

  • Yes. The FTC says there is no AI exemption from existing laws, and using AI tools to mislead or defraud people is illegal. Keep claims honest and say clearly when someone is talking to software.
